What is Zapier and how does it unlock hundreds of opportunities?
Zapier is an automation tech tool that connects your apps, saving you from monotonous, repetitive tasks. It's like a magic set of dominos – connecting one thing to another when a trigger sparks, creating a chain reaction of actions. (Think of these as the tasks you’d otherwise have to do manually.) These chain reactions are called “Zaps”. (link to Introducing Zaps blog) and once they are turned on, they are working for you 24/7.
There are over 3,000 apps connected to Zapier including Google Suite (Gmail, Sheets, Docs, Drive, Calendar etc.), Mailchimp, Messenger, Dropbox, Todoist, WordPress, Slack, Facebook Lead Ads, and of course Rex. Using this simple but powerful tool you’ll be able to automate all those mundane tasks like sending response emails to new leads, sending SMS to viewing reminders and updating contact information when offers are made.
The best bit? There are absolutely no coding or technical skills required!
You simply select a trigger (the event that starts the domino effect) and the action, or series of actions - give it a test and then turn it on. Creating other apps to Rex Zaps
What you can do here is only limited by your agency process. Simply link the services you want to your Zapier account and off you go - setting triggers and establishing actions.
Some of the zaps you could create between other apps and Rex are:
- when a Facebook Lead Ad form is completed a new lead is created in Rex
- when a contact is added to a mailing list in Rex, this change is copied over to Mailchimp.
- when that listing is published on your website, two other things happen: the listing is automatically posted to your Facebook page, and your team is alerted via Slack;
- When a contract is completed, a Google Sheet gets updated
- When a listing is published on your website the vendor receives an SMS letting them know
Creating Rex to Rex Zaps
Our Zapier integration doesn’t just link Rex to third party apps - it provides some amazing connections within Rex that allow you to set up your own Rex automation to fit your business perfectly.
Using the 15 Rex triggers and 11 Rex actions (link to blog Introducing zaps) you can create automated workflows that will put your Rex account on turbocharge.
Here are some of the Zaps that turn on power within your Rex account:
- when a portal enquiry is received, automatically send the buyer an email confirming you got their details and include the e-brochure of the listing.
- when a listing goes live, you can switch the vendor from a prospecting track to a vendor care track
But letting computers do all the leg work takes all the humanity out of the job, right?
Not even close. Completing these tasks as efficiently as possible frees you up to do the higher-order work and have more conversations with more buyers and sellers, creating that human connection that wins listings.

Important things to remember
While the Rex + Zapier integration is an exciting step forward, keep in mind a few tips to maximize its usage and ensure that no opportunities get lost again.
Permissions
Zapier requires that the person making these Zaps between systems has the correct level of permissions to make it happen. Typically on set up, Zapier will ask for the account to be authenticated. For Zaps to be modified at their endpoints any time in the future, that user will also need to have the correct permissions in Rex.
Testing
We highly recommend testing a Zap and how it should flow by running some test triggers - like completely some webforms or changing some dates on a test contact. Ensure that all the data flows as you expected and that everyone included in the actions is on the same page.
Security
Be mindful of the apps you choose to connect to, and be familiar with their data privacy and security protocols. If you need to dig into Zapier’s security, their documentation is located here.
Cost
Zapier has a freemium level for users that includes 5 Zaps and 100 Tasks per month. This is certainly a great level for testing things out, but as you progress into more advanced Zaps and connecting more applications, you’ll want to consider the Zapier pricing and decide which plan makes sense for your firm.
Zapier will bill you directly and all issues with your Zapier account will be managed by their support team.
